This position will tender loads to other carriers & negotiate rates for those loads above and beyond the capacity of the private fleet. During the time from shipping to delivery communication will be continued as needed until consignee has taken control of the product. If any issues arise at any time in reference to an order carried by someone other than the private fleet, this position will investigate and resolve such issue. All records pertaining to any shipment of such shall be maintained by this position including required documentation by Federal, State, Local laws and company policies. Coordinate all cross docking done by PV Transport. Other duties within the Private Fleet sector may be assigned. Dispatch Planning - Priority 1 - 60% of Time Perform checklist daily Coordinate all 3rd party carriers Participate in daily dispatch audits to identify opportunities for improvement Perform Customer Complaints investigations and implement corrective actions Observe dispatch and delivery processes and ensure that all SOPs are established, followed and continually improved Monitor area KPI's for variance vs. target and make corrective actions Use Continuous Improvement tools to identify and sustain processes Manage job sharing opportunities or cross training within team members qualifications to meet dispatch schedules and build depth Ensure communication within systems are working and being used correctly daily Ensure all operational materials/supplies are available Coordinate with other departments to support schedule attainment effectiveness Build and maintain list of Carriers with rates within current software system Update orders as needed on customer web sites Interact and generate feedback from Customer Experience Specialist and Customer Optimize moves based on geographic areas and costs Balance use of less than load (LTL) and truckload carriers (TL) through order consolidation, and rate evaluations. Update and maintain a list of opportunities/action items and follow through to completion Schedule and price all backhaul lanes Coordinates all crossdock orders from pick up to final destination Enters orders "Crossdocks" orders in dispatch system Closes crossdocks orders after final delivery Arranges pick ups at shippers and consolidates orders Liaison with Order Assembly for all crossdock orders Coordinates all Mispicks, OS&D and returns to the original shipper Schedule Adjustments - Priority 2 - 10% of Time Review on-time delivery report Address add-on, merges and change requests to orders and schedules Reassess customer requirements in response to issues Problem solve for unknown and repetitive issues Manage Carrier rate tables Troubleshoot carrier issues as they arise Team Building - Priority 3 - 10% of Time Train new Team Members on SOPs Perform Weekly Qualification meetings (New Team Members) Administer Disciplinary Actions Coaching all Team Members (corrective action, SOP's, key expectations, KPI's) Recommend Positive celebrations/recognition Assist in performing hiring manger responsibilities for all non exempt team members Develop cross-training matrix (within department) Executing under Change management plan Use Continuous Improvement tools to engage and develop team members Investigate and resolve team member complaints and issues Perform annual team member evaluation form Administrative - Priority 4 - 5% of Time Maintain all mandated paperwork and forms provided by each Carrier Review and maintain file maintenance parameters Maintain Carrier measurements (Scorecard) and hold carriers accountable to meet goals Create and/or maintain SOP's relating to job description Approve all carrier Invoices Team CFG Priority 5 - 15% of Time Attend and participate in weekly meetings Participate in leadership opportunities Attend DOT training Review personal development tools Support cross functional teams initiatives Cross train on other dispatch positions to be able to back up for PTO Interact, generate, and review feedback with Carriers and customers to maintain positive relationships.
Bachelor's degree (B. A. or B.S.) is preferred or 3 - 5 Years experience in a similar role Strong problem solving skills and attention to detail Prior experience in customer facing positions preferred Excellent written/verbal communication/presentation skills Strong interpersonal skills. Ability to function at a high level within a team environment Ability to work independently and with individuals from multiple disciplines and with varying levels of experience Ability to excel in a fast-paced environment where change and growth are part of the culture Strong MS Excel, Word, and PowerPoint skills Must be available on weeknights & weekends as needed
